Planning a proposal in Bali involves dozens of decisions, bookings, and details that all need to come together at exactly the right moment. It is easy to forget something important when you are managing everything from overseas while also keeping a secret from the person you spend every day with.

This checklist breaks the entire process into clear phases so you know exactly what to do and when. Whether you are planning everything yourself or working with a proposal planner, use this as your roadmap to make sure nothing falls through the cracks.

3 Months Before: The Foundation

This is when you lay the groundwork. Decisions made now shape everything that follows.

☐  Decide on your proposal style. Think about what fits your relationship: cliffside, beach, waterfall, villa, private dinner, or something completely unique. Consider what your partner would love most, not just what looks best in photos.

☐  Set your overall budget. Include the ring, flights, accommodation, proposal setup, photographer, celebration dinner, and any extras like a spa day or engagement shoot. Knowing your total number helps you prioritize.

☐  Choose or order the ring. If you are going custom, this is the latest you should start. Custom rings typically take 4 to 8 weeks. If buying ready-made, you have more flexibility, but earlier is always less stressful.

☐  Research proposal planners or decide to go DIY. If you want professional help, start reaching out now. The best planners book up during peak season. If going solo, begin researching locations, photographers, and vendors.

☐  Book your flights and accommodation. Lock in your Bali trip dates. If you are involving family or friends, coordinate their travel now too. Book their accommodation at a different hotel than yours.

☐  Find your partner's ring size. Use one of the discreet methods: borrow a ring they already own, ask a trusted friend, or measure while they sleep (carefully). If you cannot get an exact size, go slightly larger. Resizing down is easier than up.

2 Months Before: Locking In the Details

With your foundation set, now you confirm the specifics.

☐  Confirm your proposal location. Work with your planner or do your own research to identify the exact spot. Make sure it faces the right direction for your preferred time of day (west for sunset) and offers enough privacy.

☐  Book your photographer. Look for someone with specific proposal experience at your chosen location. Review their portfolio, discuss the plan, and agree on a signal for the proposal moment. Book a videographer too if your budget allows.

☐  Plan your setup and decorations. Decide what you want: flowers, candles, signage, a picnic, a dinner table, or a minimal approach. Share your vision with your planner or start sourcing local vendors if planning yourself.

☐  Reserve your celebration dinner. Book a romantic restaurant near your proposal location for immediately after. Popular restaurants in Ubud, Uluwatu, and Seminyak fill up quickly, especially for sunset time slots.

☐  Start crafting what you want to say. You do not need a memorized speech, but having a clear idea of what you want to express makes the moment more meaningful. Write down the key feelings and memories you want to share.

☐  Check passport validity and visa requirements. Your passport should be valid for at least 6 months beyond your travel dates. Most nationalities can get a visa on arrival in Bali, but verify this for your specific country.

1 Month Before: Fine-Tuning

Everything should be booked and confirmed by now. This phase is about refining the details.

☐  Confirm all bookings. Send confirmation messages to your photographer, planner, restaurant, and any other vendors. Make sure everyone has the correct date, time, and location.

☐  Plan your cover story. Decide how you will get your partner to the proposal location without raising suspicion. Keep it simple and natural: a sunset walk, a dinner reservation, or a morning activity.

☐  Coordinate outfit plans. You want both of you to look your best without your partner getting suspicious. Suggest a nice dinner, a photo opportunity, or a special outing as a reason to dress up. Light, breathable fabrics in soft colors photograph best in Bali's light.

☐  Arrange travel insurance. Make sure your policy covers your trip and check whether your ring is covered for loss or damage during international travel. Standard travel insurance often excludes high-value jewelry.

☐  Get ring insurance. Consider a dedicated jewelry insurance policy if your ring is valuable. This typically costs 1 to 2 percent of the ring's value per year and covers loss, theft, and damage worldwide.

☐  Share your plan with one trusted person. If you are not using a planner, tell one friend or family member your complete plan. This person can be your backup contact, help manage details, and keep you calm.

2 Weeks Before: Final Preparations

☐  Do a final run-through with your photographer and planner. Walk through the entire timeline: arrival time, positioning, signal, the proposal, the reveal (if family is involved), and the transition to dinner. Everyone should know exactly what is happening and when.

☐  Check the weather forecast. Start monitoring the weather for your proposal date. If heavy rain is predicted, discuss backup options with your planner. A Plan B should be ready and fully bookable on short notice.

☐  Prepare a ring travel plan. Buy a small waterproof bag for the ring box. Plan exactly where you will keep it during the flight (carry-on, always) and during the trip. Decide who will hold the ring on the day: you, your planner, or your photographer.

☐  Download offline maps. Bali's internet can be unreliable in rural areas. Download offline maps of the proposal area so you can navigate even without signal.

☐  Confirm family or friend travel (if applicable). Make sure everyone who is flying in has confirmed their flights and accommodation. Remind them: no social media posts from Bali until after the proposal.

1 Week Before: Almost There

☐  Pack the ring in your carry-on bag. Wrap the ring box in a sock or soft clothing inside your bag. Never check it. Keep it with you at all times during travel.

☐  Charge all devices. Make sure your phone, your partner's phone (for post-proposal family calls), and any portable chargers are fully charged. You will want full battery for photos, calls, and navigation.

☐  Reconfirm your celebration dinner reservation. Call or message the restaurant to confirm your booking, the time, and any special requests (champagne, a specific table, a private area).

☐  Practice what you want to say. You do not need to memorize a script, but run through your key points a few times. The more familiar the words feel, the calmer you will be in the moment. Your partner cares about your sincerity, not perfection.

☐  Prepare a playlist or background detail (optional). If you want music playing during the proposal, create a playlist and test it on a portable speaker. Keep it simple: one or two meaningful songs is enough.

The Day Before: Stay Calm

☐  Final weather check. Look at the hourly forecast for tomorrow. If conditions have changed, contact your planner or photographer to adjust.

☐  Confirm the meeting point with your photographer. Share your exact arrival time and confirm where they will be positioned. Exchange phone numbers in case of last-minute changes.

☐  Hand over the ring (if using a planner). If your planner or photographer is holding the ring, hand it over today. This removes the risk of your partner finding it in your bag and frees you from carrying it around.

☐  Enjoy a normal day with your partner. Do something fun and relaxed together. Go to the beach, explore a market, or have a nice lunch. The more normal the day feels, the less likely your partner is to suspect anything.

☐  Get a good night's sleep. Tomorrow is the biggest day of your trip. Rest as much as you can. The nerves will come regardless, but being well-rested helps you stay calm and present.

Proposal Day: The Moment

☐  Eat something. Nerves can kill your appetite, but proposing on an empty stomach makes everything harder. Have a light meal a few hours before.

☐  Leave early for the location. Add at least 30 to 45 minutes of buffer for Bali traffic. Arriving late to your own proposal is not an option.

☐  Put your phone on silent. You do not want a notification ruining the moment. Silent mode, no vibrations.

☐  Breathe. When you arrive at the location, take a moment to look around and breathe. This is happening. Your partner is right next to you. The photographer is in position. Everything is ready.

☐  Give the signal and propose. This is your moment. Speak from the heart. Your partner does not care about perfect words. They care about you.

☐  Enjoy every second that follows. After the ring is on, stay in the moment. Hold each other. Look at the view. Let the photographer do their job while you simply feel everything.

After the Proposal

☐  Take engagement portraits with your photographer. Spend 15 to 20 minutes doing relaxed photos while the light is still beautiful.

☐  Head to your celebration dinner. Walk to your reserved restaurant and continue celebrating with a beautiful meal together.

☐  Call your families. Share the news with your closest people. Think about time zones so you reach everyone at a reasonable hour.

☐  Post nothing until you have professional photos. Wait 24 to 48 hours for your photographer to deliver highlight edits. Your announcement will be so much more impactful with stunning photos.

☐  Enjoy the rest of your Bali trip as a newly engaged couple. The secret is out. The pressure is gone. Everything from here is pure celebration.
